Accounts Payable Manager

St. Stephen’s Episcopal School in Austin, Texas, a grades 6-12 day and boarding school of 710 students, is seeking a full-time Accounts Payable Manager.

The Accounts Payable Manager plays a critical role in ensuring the smooth operation of the financial processes. This position is responsible for accurately processing and recording all accounts payable transactions on a timely basis, maintaining vendor relationships, and supporting the school's overall financial operations. 

Responsibilities:

Invoice Processing – Receive, review and process all invoices accurately and efficiently.  Invoices need to be coded properly, approved by appropriate budget manager, and supported by appropriate documentation.

Payment Processing – Prepare and process payment batches, including checks, electronic transfers, and ACH payments in accordance with St. Stephen’s policies and payment terms. 

Vendor Relations – Maintain a positive relationship with vendors; addressing inquiries or discrepancies in a timely manner.  Ensure vender documentation is complete with certificate of insurance, W-9, 1099 documentation and other appropriate information. 

Month and Year-End Close – Assist with month-end closing procedures.  Provide reconciliation at year-end for accruals payables.  Provide necessary support for financial audits.

Record Keeping – Maintain organized and accurate records of accounts payable transactions and related documentation.  Ensure all records are properly filed and archived in compliance with our record retention process.

Compliance – Ensure compliance with all St. Stephen’s Episcopal School policies, procedures, and relevant accounting regulations.  Stay updated on changes in accounting standards and regulations affecting accounts payable functions.

Process Improvements – Identify opportunities for process improvement and efficiency in accounts payable procedures. Collaborate with team members to implement solutions.

Other duties - As assigned by your direct supervisor.

Qualifications:

  • Proven experience in accounts payable or related accounting roles;
  • Strong understanding of accounting principles and practices;
  • Proficiency in accounting software (Blackbaud) and MS Office applications (excel, word);
  • Excellent attention to details;
  • Effective communication and interpersonal skills;
  • Ability to work independently and collaboratively in a fast-paced environment;
  • Bachelors degree or equivalent experience required; college degree in Accounting, Finance or related field preferred.
