Admission Assistant
St. Stephen's Episcopal School, a day and boarding school of 710 students (grades 6-12), is seeking a full-time Admission Assistant who thrives in a collaborative environment. The ideal candidate is eager to work closely with students and families and can both work independently and as part of a cohesive team.
The Admission Assistant plays a key role in supporting the daily operations of the Office of Admission. This position is responsible for coordinating day student interviews and tours, managing scheduling logistics for prospective families, providing support during Admission Office prospective family events, maintaining office communications and calendars, supporting Admission Committees, and facilitating Parent Association volunteer efforts. The ideal candidate is organized, personable, detail-oriented, and has strong written communication skills to support the interview and admissions evaluation process.
Key Responsibilities:
Visitor Experience & Scheduling
- Coordinate and conduct day student interviews and campus tours, ensuring a warm, informative, and welcoming experience for prospective students and their families.
- Provide support during all admission events and activities.
- Write clear, thoughtful, and well-organized interview notes to be reviewed by the Admission Committee as part of each applicant’s file.
- In collaboration with the boarding student visit coordinator, assist with interview and visit scheduling ensuring seamless logistics.
- Serve as a key point of contact for prospective families with questions about school visits and the admission process.
Communication & Calendar Management
- Monitor and respond to email inquiries sent to the Office of Admission, providing timely, professional, and helpful responses.
- Maintain and coordinate the Office of Admission calendar, including scheduling of interviews, campus tours, committee meetings, and admission events.
Admissions Committee Support
- Provide administrative support to Admission Committees, including scheduling meetings, preparing materials, tracking application files, and maintaining confidentiality.
- Ensure committee members have accurate and timely access to relevant applicant documentation.
Parent Engagement & Volunteer Coordination
- Serve as the liaison for Parent Association volunteer efforts, supporting key community engagement programs such as:
- New Parent Mentor Program;
- Parent coffees and welcome events;
- Parent involvement in admission events.
- Coordinate communications with parent volunteers and help foster a strong sense of community.
Qualifications:
- Bachelor’s degree preferred or equivalent work experience; relevant administrative, customer service, or school admission experience is a plus.
- Strong written communication skills are essential, particularly for writing interview notes and family summaries.
- Excellent interpersonal and organizational skills; ability to manage multiple tasks and timelines.
- Proficiency in Google Workspace; experience with database management is preferred.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Possess an adaptable, customer and team-oriented, and mission-driven mindset.
- Demonstrated interest in independent school education and supporting prospective families through the admission process.
- Some evening or weekend hours may be required for admission or school events.
